A broker CRM brief should explain what clients and staff need to achieve, which systems are involved, and what evidence will show that the workflow is ready.
Separate the client journey from the staff workflow
Start with the actions a client needs to take: access an account, inspect relevant history, submit a request, provide a document or contact support. Then describe the staff work behind each action: review, permissions, status changes, exceptions and follow-up.
The published TradeToolsFX CRM and client portal materials show account, payment, document, support and staff-access areas. Use those materials as a starting point for a current demonstration, with your required MT4 or MT5 environment and integration scope stated explicitly.
Build a workflow matrix
Assign a system of record to each identifier and status. A clear owner helps the team investigate a mismatch without guessing which screen should be treated as authoritative.
| Client action | Staff workflow to define | Evidence to inspect |
|---|---|---|
| Access a trading account | Account association and access permissions | Correct account and permitted information |
| Submit a payment request | Review, approval and status ownership | Request record and the agreed status changes |
| Provide a document | Access, review and retention responsibilities | Authorised visibility and review outcome |
| Open a support ticket | Assignment, response and escalation | Ticket history and a defined next owner |
| View transaction information | Source, mapping and reconciliation | Corresponding records in the connected systems |
Write one complete payment-request scenario
A useful acceptance scenario might be: a client submits a withdrawal request; an authorised staff member reviews it; the agreed status is recorded; the client sees the appropriate result. This is a scenario to agree and test, rather than a claim that every step is automated in every configuration.
Add the exception path. What happens if the request is rejected, a provider is unavailable or the systems disagree about status? Specify who investigates and what evidence they should inspect. Review the payment solutions materials and list the actual providers you want to discuss.
Test permissions in both directions
For each staff role, list allowed tasks and restricted tasks. A demonstration should include both: a successful permitted operation and a denied operation outside the role's authority. Use test accounts and representative data appropriate to the demonstration environment.
Also define access changes when a colleague changes role or leaves the team. Record the person responsible for access administration and the evidence used to verify the change.
Define the integration boundary
List the platform, account identifiers, data direction, update expectations and error-handling responsibilities for each connection. Keep a distinction between a trading terminal, CRM operations and MAM/PAMM allocation. They solve different parts of the account journey.
Where an existing workflow requires additional work, prepare a focused custom API development brief. Include a sample input, expected result, exception and acceptance owner. Confirm the available access and supported connections before assuming an integration is part of the delivery.
Prepare the walkthrough
- Select three representative client journeys.
- Assign a staff role and system owner to each step.
- Write an expected result and one exception for each journey.
- Record observed outcomes and unresolved questions.
- Confirm configuration, handover and support responsibilities.
